The Civil Service is aware of its legal obligations in relation to the collection and processing of personal data. We are committed to processing your data securely and transparently. This privacy notice sets out, in line with our legal obligations, the types of data that we collect and hold on you as a job applicant. It also sets out how we use that information, how long we keep it for and other relevant information about your data.

TMP Worldwide (UK) is a data processor, working on behalf of GRS. This privacy notice also tells you how TMP will collect, store, and process your data in line with the Data Controller’s requirements, and in line with the relevant UK legislation.

Types of Data We Collect
Relating to your name, telephone and email address and job role interests to contact you about future opportunities advertised by the Civil Service. If you would like to be part of the candidate pool we contact about opportunities in the Darlington Economic Campus or other locations, we need to collect data about your job role preferences. This data will include your name, address, email address, phone number(s) and level of role and type of role. Legal basis – why we wish to use your data

The legal basis for collecting your data is consent. We need this in order to contact you about job opportunities in DIT and other government departments that we identify as suitable based on your submitted preferences. We may also contact you relating to developments in the Darlington Economic Campus.

Deciding not to provide data to us
We do need this data to allow us to carry out an effective recruitment process. Whilst you are under no obligation to provide us with your data, we may not be able to include you in communications and developments regarding the Darlington Economic Campus and job opportunities without it.
Sharing your data
Your data will be used by our partner TMP Worldwide, and also shared with colleagues within Cabinet Office, DIT and other government departments including but not limited to BEIS, HM Treasury, MHCLG, ONS where it is necessary for them to undertake their duties relating to the recruitment process. This will also extend to sharing communications about job opportunities and future recruitment campaigns aligned to your stated location and job type preferences.
Protecting your data
We take the security of your data seriously. We have internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by our employees in the proper performance of their duties. In addition, we limit access to your personal data to the data processor. Such third parties are under a duty of confidentiality and must implement appropriate technical and organisational measures to ensure
the security of your data.
How long we keep your data for
In line with data protection principles, we only keep your data for as long as we need it.
We will keep your data for a period of 12 months from the date you registered, at which point it will be permanently deleted.
Your rights in relation to your data
The law on data protection gives you certain rights in relation to the personal data we hold on you. You have the right to:
- Access and obtain a copy of the data that we hold on you
- Have any data that we hold about which is incomplete or inaccurate, corrected
- Have us delete or stop processing your data, for example where you believe there is no reason for us to continue processing it
- Object to the processing of your personal data where we are relying on our legitimate interests as the legal basis for processing
